Change a member's plan

Move a member up or down a plan, or between monthly and yearly, from their page. For a card membership FMS asks Stripe what it costs first. The new plan starts only once it is paid.

You'll need

  • The member's page open
  • The Finance, Membership manager or Owner role
  1. On the member's page, find the membership under Subscriptions. Press ⋯ at the end of its row and choose Change plan.
  2. Choose the new plan. Yearly and monthly plans are listed apart. The current one says Current.
  3. Read the box that appears. It shows Due now, the Next renewal and any warning.
  4. For a card upgrade, choose under How is it paid?. See the two choices below.
  5. Press the button. It says what it does, for example Charge $165.00 and change, Send invoice or Change plan.

Moves money

For a card membership, confirming an upgrade charges the member's saved card at once, or sends them an invoice. A downgrade charges nothing. Stripe keeps the unused difference as credit on the member's next invoices. It is never refunded to the card.

The two ways to collect an upgrade

ChoiceWhat happensWhen to use it
Charge the saved card nowStripe charges the difference to the card on file. If it clears, the new plan starts at once. The member asked for the upgrade and expects the charge.
Send an invoice for the member to payNo card is charged. Stripe makes an invoice for the difference. The new plan starts when the member pays it.The member wants to pay another way, or should agree to the amount first.

Days to pay is preselected from the setting on Team invoices. Choose 7, 14, 30 or Other… for this one invoice. The invoice must be due before the membership renews, so a short time before the renewal limits the choice.

FMS does not email the payment link

After you confirm, the box shows the payment link with Copy link. Stripe emails the invoice only if invoice emails are switched on for that Stripe account. Otherwise send the link yourself.

Waiting on payment

If the card did not settle the charge, or you sent an invoice, nothing changes yet. The member page shows a yellow line under the membership:

Waiting on payment: change to Fanatic · invoice sent · due 24 Oct · Copy payment link · Cancel

  • The member keeps their current plan until they pay. Then the change happens by itself.
  • On the website, the member sees the same change waiting, with a button to pay.
  • A card charge that did not settle is dropped by Stripe after about a day if nobody pays.
  • A sent invoice stays open until it is paid, cancelled, or closed by FMS (below).

Only one change can wait at a time. Cancel it before trying a different one.

If the member pays late, or the membership ends

FMS voids a sent invoice by itself, so the link stops working, when:

  • the membership is stopped or ends, or
  • the membership renews before the invoice is paid, or
  • the invoice is more than a day past its due date.

The yellow line then disappears and the member stays on their plan.

A late payment is not turned into the new plan

If a member still manages to pay after that point, FMS does not change their plan. The payment was for days that are already over. It appears in Health → Dead letters with the reason. Finance refunds it in Stripe, or you make the change again with a fresh invoice.

Cancel a change that is waiting

  1. Press Cancel on the yellow line.
  2. Read the box and press Cancel change. FMS voids the invoice in Stripe, so the link stops working.

If the member has just paid, the change cannot be cancelled. It is applied instead.

Monthly to yearly, or yearly to monthly

A switch between monthly and yearly restarts the billing cycle today. The whole first period is charged now, less credit for the unused part of the current one. The next renewal moves to one month or one year from today. It can only be charged to the saved card.

Free and bank-paid memberships

A free (comp) or paid-outside-Stripe membership has no card. Change plan simply moves it to the new plan, up or down, and nothing is charged. For a paid-outside-Stripe member who moves up, record the extra money with Record payment when it arrives. A free Community member can be moved up the same way. That is a free membership, like giving free access.

To have Stripe invoice such a member instead, press Move to Stripe billing. See Move a member to Stripe billing by invoice.

Members on Opn Payments

You cannot change the plan of a membership paid through Opn Payments from here. Change plan says it is not available for Opn-billed members. The member changes plan themselves, on their billing page. The change starts at their next renewal. Nothing is charged before then.

While a change is booked, a line shows under the membership on the member page:

From 1 Mar 2027: Fanatic · plan change chosen by the member · takes effect at renewal

On that date the renewal charges the new plan's price and switches the plan. If the member presses Keep current plan or cancels before then, the line goes away.

A discount code does not move to the new plan. The renewal charges the new plan's full price and the code comes off the membership, the same as a change on Stripe. Since 25 October 2026.

Check it worked

  • The plan on the subscription row shows the new plan, or the yellow waiting line is there
  • For a card change, the payment appears under the subscription once Stripe confirms it
  • Settings → Audit shows Changed a member's plan under your name
What cannot be changed here
  • A team seat. The team page manages it. Change plan is not shown on a seat.
  • A team plan's owner moving to an individual plan. This ends the team, and every other member moves to free Community. The box asks you to tick that you understand.
  • A free member moving to a card plan. There is no card to charge. Send them to the website checkout, or give a free membership instead.
  • A membership paid by team invoice. Change it on Team invoices.
  • A single member billed by Stripe invoice. Change plan is not shown. Stop the membership, then move the member again on the plan they want.
  • An older or extra row. Only the membership that bills the member can be changed. The box names the right one.
  • A read-only Stripe account, or live payments switched off on the server. The box says so in red before you press anything, and nothing is changed.
  • A discount code. The new plan is billed at its full price, so a discount the member had stops. The box warns you first.
