Name, notes, login email and newsletters

Seven small jobs that all live on the member's own page. Changing any of them needs the Support, Membership manager or Owner role.

Correct a name

The Name card sets what staff screens call this member — the member list, search and the subscriber export all use it.

The member owns their name

If they change it on the website, that wins on their next visit. Use this for somebody who has no name on file at all, or to fix an obvious typo — not as a label the member cannot change.

Leave a note

The notes log is append-only. Every note is stamped with your name and today's date, so it is the memory of why anything unusual was done.

Write a note whenever you grant access, record a payment, change an email or do anything the next person would otherwise have to guess about.

This changes how they sign in

Tell the member before you do it, otherwise their next sign-in fails and they will assume the site is broken. Leave a note with the old address.

The website account follows by itself within about five minutes. The member does not need to sign in for that. WordPress sends them its usual "your email address changed" message.

Email history

The Email history card lists every change of the member's address, newest first. It shows when, the old and new address, where the change came from, and who made it.

SourceMeans
ConsoleSomebody changed it on this page. By names them.
WebsiteThe member changed it in their website profile.
StripeThe member changed it in Stripe's billing page.
ImportA member import changed it.

The Website badge says whether their website account has the new address yet.

BadgeMeans
PendingNot yet. The website picks it up within about five minutes.
AppliedThe website account now uses the new address.
Another website account uses this addressThe website kept the old address. See below.
No website account foundThe website has no account for this member. Nothing to do.
Website rejected this addressThe website says the address is not valid and kept the old one. Correct it on the Login email card. That is a new change, and the website tries again.

This console refuses an address the website would reject. It says Enter a full email address, like name@example.com. So Website rejected this address can only come from a change made in Stripe or by an import. | Replaced by a later change | A newer change came first. Only the newest one goes to the website. | | Before history | The change happened before FMS kept this list. |

When another website account uses the address

Two website accounts cannot share an address. The website then keeps the member's old address.

  1. Find the other website account with that address in WordPress → Users.
  2. Ask the member which account they use. Change or remove the other one.
  3. Ask the member to sign in, or change the address here again.

Either one brings the website account in line.

Members still on the old membership system

A member FMS has not taken over yet (see the Migration page) stays Pending. Their website account follows once they are handed over.

When the website refuses someone's sign-in

Some people have two website accounts with the same address, for example an old one and a new one. FMS links each member to one website account. If the other account tries to sign in, the website refuses it, and the member sees a sign-in problem.

The Website account card then shows a yellow box: Website account #N could not sign in. It says which account the member is linked to now, and who holds the other one.

  1. Ask the member which website account they want to use.
  2. If it is the one in the yellow box, press Move #N to this member, then Move it.
  3. If they will keep using the linked one, press Keep … and dismiss.

The member signs in normally straight away. Memberships, billing and newsletters do not change. The account the member was linked to before no longer signs in as them; the confirmation says which one.

Who can move a website account

Support staff and membership managers can move only the account in the yellow box, and only when it tried to sign in with this member's address. Moving any other account onto a member gives that login the member's plans, so it needs an owner. Every move is in the activity trail, with both account numbers.

Starting fresh

Forget website account removes the link. The next website sign-in with this address links again, whichever account it comes from.

Newsletters

The switches decide which newsletters this member receives.

The newsletter switches
One switch per newsletter.

Switching one off is always respected. Nothing FMS does later will switch it back on. A newsletter can also be off because their plan does not include it, or because their whole team muted it, and the screen says which. What each tier includes is on Newsletters by tier.

The newsletter archive

The Newsletter archive card says whether the archive lets this member in.

BadgeMeans
Yes, through their planOne of their plans includes the archive.
Yes, as an archive managerA staff account with their email may manage the archive, and that lets them in.
NoTheir plans don't include it. Check the archive badge on Plans.

Who may manage the archive's newsletters is not set here. An owner ticks it on that person's page in Staff. When a staff account with this member's email has the tick, the card says so. Owners also get an Open their staff page link.

Send newsletters to a different inbox

Some members want their newsletters at a different address from the one they sign in with.

The sign-in address stays the same. Only the mail goes elsewhere.

See what was done, by whom

The Activity card lists the last 50 things done by this member or to them, newest first. It covers changes an admin made here, what the member did on the website, and each visit to the newsletter archive or the member pages.

Each line says what happened. Under it you see when, who did it, and how it reached FMS. When FMS knew the member's address, it shows as from and the address.

WhoMeans
The memberThey did it themselves, on the website or on a card form.
… (admin)An admin did it in this console.
… (website)The website did it for them, for example when they signed up.

The badge on the right says how it ended: Done, Failed, Refused or Waiting. Waiting means a card payment is paused for the bank's security check.

Press See all in Audit to see every line for this member, with filters. See Audit.

Why some lines have no address

The website sends the member's address only while it is serving their browser. Timed jobs on the website send none. FMS then records no address, rather than the website's own. Visits to the archive have no address either, because the archive asks FMS from its own server.

When someone can't get into the archive

The archive lines tell you how each visit ended.

LineWhat happened
The website sent them to …They pressed the link on the website. A sign-in link was made.
Opened the newsletter archiveThey got in.
Turned away from the archive — their plan doesn't include itTheir plans don't include the archive. Check the archive badge on Plans, or the Newsletter archive card.
Link … had expiredThey took longer than two minutes, or opened an old link. They should open the archive from the website again.
Link … was used twiceA second visit with the same link, often a refresh or a forwarded link.
A link for the other site was opened …A member-pages link was opened at the archive, or the other way round.
What isn't listed

A link FMS didn't make itself is refused and not listed, because nothing in it says who sent it. Too many attempts from one address are recorded once a minute, not against a member. A link that is tried again and again shows once for each way it was refused, not once per try. Lines are kept for 180 days.

How a membership is billed

The Billing column on each subscription row says how the member pays. Invoice · by invoice · paid until … means Stripe sends the member an invoice each period and they pay it by card or transfer. FMS emails each invoice. See Move a member to Stripe billing by invoice.

Under a subscription, each payment it received is listed with what reached the bank. The label says how it was paid: Card · Stripe or Card · Opn for a card, the method for money recorded by hand. An Opn payment is in THB, whatever the plan's catalog currency.

A line Free until …, first payment then under the end date: the member joined a plan with free days (Free days before the first payment). They already have full access; their card is first charged on that date.

A line From a date**😗* a plan under an Opn membership is a plan change the member booked on their billing page. It starts at the next renewal. See Change a member's plan.

A card membership in amber grace: a renewal failed and Stripe is retrying the card. The member keeps reading for up to 30 days. A successful retry makes it active again. If Stripe gives up, it cancels the subscription and the membership ends.

Do not stop a member in grace by hand

Stripe settles it either way. Ask the member to update their card on their account page.
