Change your email, password or phone
You end up signing in to the admin portal with a new email address, a new password or a new phone.
Every sign-in takes two steps: your password, then a 6-digit code from an app on your phone. See Two-step sign-in below.
The page also shows your Role, and under it What your role can do in one line. Your role decides what you can change in the console. Only an owner can change it, on Staff.
You'll need
- Your current password
- For two-step sign-in, your phone with an authenticator app such as Google Authenticator, 1Password or Authy, and somewhere safe for ten recovery codes
Change your sign-in email
- Press the menu button at the far right of the top bar.
- Press Your account. Your current email is shown under it.
- Type the new address in New email.
- Type your password in Current password.
- Press Change email.
The green box says which address to sign in with from now on. You stay signed in. Capitals do not matter: Thomas@Example.org and thomas@example.org both sign in.
Change your password
- Open Your account from the menu.
- Type your password in Current password.
- Type the new one in New password and again in New password again.
- Wait until all three checks under the fields turn green.
- Press Change password.
The eye at the end of each field shows what you typed.
You stay signed in here. Every other browser signed in to your account is signed out at its next click: a laptop at home, a shared computer you forgot about.
Sign out everywhere else
Left the console open on a shared computer, or lost a laptop?
- Open Your account from the menu.
- Under Other browsers, press Sign out my other sessions.
Every other browser signed in to your account is signed out at its next click. You stay signed in here. If you think someone knows your password, change it instead: that signs the others out too.
"You were signed out here"
If the console sends you back to the sign-in screen saying your password changed or your other sessions were ended, someone (you, on another computer, or an owner) did one of the above. Sign in again. If it wasn't you, change your password and tell an owner.
First sign-in with a temporary password
An owner gives a new colleague a temporary password. Someone who forgot theirs gets one too. Sign in with it as usual. Your account then opens with a yellow box: Set your own password to carry on. If you were already signed in, your next click takes you there.
- Type the password you were given in Temporary password.
- Type a new one in New password and again in New password again.
- Wait until all three checks under the fields turn green.
- Press Change password.
The console then asks you to set up two-step sign-in. See Set it up. Until both are done, every other screen is refused.
The same yellow box appears on the live console if your account still uses the setup password from the first install. Anyone can look that one up, so the box says so: This account still has the setup password, which anyone could look up. Choose a new one to continue. You get there only after the code from your authenticator app, because the code is what proves it is you. Type the setup password in Setup password, then follow steps 2 to 4 above. Every other screen is refused until you have.
Two-step sign-in
After your password, the console asks for the 6-digit code from an authenticator app on your phone. The code changes every 30 seconds. Each code works once. This is for every account, and nobody can switch it off. Keep the recovery codes away from your phone, for example in a password manager or on a printed sheet.
Set it up
The console opens Set up two-step sign-in the first time you sign in without it.
- Open your authenticator app on your phone.
- Add an account in the app. In most apps, press + and choose Scan a QR code.
- Point the camera at the square code on screen. The app adds FMS.
- Press Next: enter a code.
- Type the 6 digits the app now shows in Code.
- Press Confirm.
- Save the ten recovery codes. Press Copy all or Print, or write them down.
- Tick I have saved these codes, then press Done — open the console.
Camera not working? Under Can't scan? Type this key, press Copy. In the app, choose Enter a setup key and paste it.
Sign in with a code
- Type your email and password as usual, then press Sign in.
- Open the app and type the 6 digits shown for FMS in Code.
- Press Continue.
Lost your phone? Press Use a recovery code instead and type one of your recovery codes. Each one works once. Your account then opens and says how many you have left.
Set up a new phone
- Open Your account from the menu.
- Under Two-step sign-in, press Set up a new phone.
- Type your password in Current password.
- Type the code from your old phone in Code from your authenticator app.
- Press Continue.
- Scan the new code with the new phone, then follow steps 4 to 8 of Set it up.
No old phone? Press Lost your phone? Use a recovery code at step 4 and type a recovery code. The old phone keeps working until the new one is confirmed. Then it stops.
Make new recovery codes
- Open Your account from the menu.
- Under Two-step sign-in, press New recovery codes.
- Type your password and a code from the app.
- Press Make new codes.
- Save the ten new codes, tick I have saved these codes, then press Done.
All your old recovery codes stop working, used or not. Do this when recovery codes left turns amber.
A new phone ends your Claude connections
Setting up a new phone disconnects Claude from your account. Connect it again from Claude. See Connect Claude to FMS.
Connect Claude to FMS
The Claude and other AI assistants card sits below your sign-in details. It shows the address to paste into Claude, with a Copy button, and your Your connections list. Press Disconnect on a row to end that connection at once. If the card says the connector is switched off, the technical team has not turned it on. Full steps: Connect Claude to FMS.
Check it worked
- Signed in as shows the new address
- The menu shows the new address under Your account
- Settings → Audit has a line saying you changed it
- Two-step sign-in shows a green On since badge and how many recovery codes are left
Other browsers are signed out
Changing your password signs out every other computer signed in to your account, at its next click. This browser stays signed in.
Changing your password ends your Claude connections
Claude stops reading FMS as you, however your password is changed. Connect it again afterwards from Claude. See Connect Claude to FMS.
If the code step says "That code is not right"
Type the newest code the app shows, before it changes. A code already used is refused too. If every code fails, check that your phone sets its clock automatically. When setting up, a code that is too old sends you back to scan a fresh square code.
If you lost your phone and your recovery codes
Ask an owner. They press Reset two-step sign-in on your page in Staff. You set it up again with your new phone the next time you sign in. If you are the only owner, ask the technical team.
If sign-in goes back to the password screen
The code step lasts five minutes. After that the console asks for your password again. Type it, then the newest code.
What the checks mean
The new password needs at least 12 characters. It cannot be your email address, your current password, or a published default such as the setup password from the first install. A few unrelated words are easier to remember than symbols.
If sign-in says "Too many sign-in attempts"
The console allows a few wrong passwords, then makes you wait. The message says how many seconds. Wait, then type the password once, carefully. Nothing is locked for good, and nobody needs to unlock it. Only wrong passwords count. On a browser you have signed in from before, wrong guesses made by someone else do not hold you up.
If sign-in says the account still has the setup password
The account still uses the password from the first install, which anyone could look up. If you have set up two-step sign-in, you do not see this message: you sign in as usual, with your code, and the console asks you for a new password before anything else (see First sign-in with a temporary password).
You see this message when two-step sign-in is not set up yet. Then nothing proves it is you, so the live console refuses the setup password and you cannot change it yourself. There are two ways out. An owner sets you a temporary password on your page in Staff, and you choose your own when you next sign in. If you are the only owner, ask the technical team. They run staff-reset.
Claude's sign-in page refuses the setup password too. Choose a new one in the console first, then connect Claude again.
If sign-in says the account has been switched off
The message reads "This account has been switched off. Ask an owner." An owner switches colleagues off when they leave. Only an owner can switch you back on, on your page in Staff.
Staff alerts do not move
Alerts from FMS go to the alert address set on the server. Changing your sign-in email does not change it. Ask whoever runs the server to update it.
If the box says your current password is not right
Nothing was changed. Type it again, or press the eye to check it. If you have forgotten it, ask an owner. They can set you a temporary password on your page in Staff.
